Save the information the next person needs
Record the decision, its scope, who made it and the evidence behind it. Add what remains uncertain. A note can capture something for later work; an agreed decision or policy needs its appropriate reviewed record. Save a note or useful fact explains that choice.
For an illustrative customer renewal, the current account position and its supporting decision should be findable together. The next agent should not have to infer the position from a confident sentence in an earlier chat.
Your agent uses only the records it's allowed to read.
Your question.
What did we decide, and what still needs attention?
The supporting records.
Ask your agent to show the sources it used.
Your check.
Open the records. Do they support the answer?
Your next step.
Use the answer, or name what is still missing.

Start the next conversation from the sources
Ask the connected agent to read the relevant map and current records before acting. Name the job and the scope: “Continue preparing this renewal from the current account decision and open tasks.” Ask it to say what it used and what is still missing.
Two people on the same account can see different records because access follows each person. Sharing work explains how to hand off useful context without copying excluded information.
Keep personal context in its proper place
Your personal preferences and working guidance help the agent answer in a useful way for you. They are different from a shared company policy and do not authorise a wider action. Personal areas have their own access rules; the owner’s access and any delegated admin access mean “personal” is not an absolute promise of secrecy from the operator.
Use the destination and schema advertised by the Mind rather than copying another person’s folder structure. Zones and permissions explains these boundaries.
Refresh context when it changes
When a decision changes, save the new evidence and make clear which guidance is current. Do not quietly erase the reason behind the earlier choice. Current information and history helps separate the instruction to use now from the record of how it changed.
